Who can join as a clinician?
Practising healthcare professionals across medicine, nursing, dentistry, pharmacy, optometry, allied health, diagnostics and mental health — from physicians and registered nurses to eye technicians and optometrists. If your profession is in theprofessions & specialties catalogue, you can join; if it isn’t, you canrequest itand we’ll map it to the catalogue.
Is LocuPedia really free for clinicians?
Yes. Building your profile, getting verified, browsing openings, applying and messaging organizations are all free. The only thing a clinician can ever choose to buy is the optional Premium add-on at $19.99/month — it is never required to apply, get hired or work. Organizations pay posting fees; clinicians never do.
How do I create my account?
TapJoin as a clinician, add your name, email and country of practice, and you’re in. A short guided setup walks you through your profession, documents and preferences — most people finish in minutes, and verification begins as soon as your documents are in.
Which professions and specialties are supported?
The catalogue covers 55+ roles across medicine, nursing, dentistry, pharmacy, optometry (including optometrists and eye technicians), allied health, diagnostics and mental health — each with requirements tailored to the profession and jurisdiction. Which provinces and states does LocuPedia cover?
LocuPedia is proudly Canadian and built for healthcare teams everywhere. Coverage follows participating organizations — verification requirements are always matched to the jurisdiction of the assignment, so your credentials are checked against the rules that apply where you’d work.
Why can't I browse openings before I sign up?
On purpose. Openings, organizations and rates are visible to registered clinicians only — never to anonymous visitors. This keeps postings legitimate, protects organizations’ staffing details, and means every person who sees a need is a real, accountable professional. Creating an account is free and takes minutes.
Finding work
How do I find openings?
Once you’re signed in, your home feed surfaces needs that match your profession, location and availability. You can search and filter by specialty, facility type, dates and more — every card shows the essentials upfront, so you never open a posting to discover the basics.
What do I see before I apply?
Everything that matters: the organization and facility, the role and specialty, dates and hours, requirements, and the offered rate — shown upfront before you lift a finger. No “competitive rate” placeholders, no surprises after you apply.
What does “rate shown upfront” mean?
Every posting must include its offered rate before it can go live, and you see it on the card before you apply. The rate you see is the rate the organization committed to publish — what you agree together becomes your agreed rate.
How do I apply to an opening?
One tap. Your verified profile and credential status travel with the application, so organizations see a complete, verified picture immediately — no re-uploading documents for every application, no repeating yourself.
Can I save and compare opportunities?
Yes. Save anything interesting to review later, and compare openings side by side — dates, location, requirements and offered rate — before you decide where to apply.
How do I set my availability?
Your availability calendar tells organizations when you can work before they ever message you. Keep it current and the matches you see — and the invitations you receive — fit your real schedule instead of colliding with it.
Can I choose locum, contract or permanent work?
Yes — that’s the point. Filter for locum shifts, longer contracts or permanent roles, work where and when you choose, and agree terms directly with the organization. LocuPedia never assigns you anywhere or commits you to anything.
What happens after I apply?
The organization reviews your verified profile and responds — usually quickly, since they can see your credential status immediately. You can message each other with the hiring context attached, agree terms directly, and you’re notified the moment anything changes on an application.
Rates & compensation
Who pays me?
The organization you work with pays you directly, under the terms you agree together. LocuPedia is a connection, credentialing and workforce marketplace — it does not process, collect, hold, transfer, invoice, settle or guarantee compensation between clinicians and organizations. That means your invoicing, payroll or direct-deposit arrangement is between you and the organization — LocuPedia is never in that path.
Does LocuPedia take a cut of my rate?
Never. There is no commission, no percentage, no hidden margin on your work. The offered rate you see upfront is the organization’s full offer, and your agreed rate is entirely yours. Organizations pay a flat posting fee — clinicians give up nothing.
What is an “agreed rate”?
The rate you and the organization confirm together for the work — starting from the offered rate shown upfront on the posting. Once you both agree, that’s the rate the organization honours directly.
What if an organization cancels a shift?
You’re notified immediately, and the cancellation is recorded on the organization’s history — organizations that cancel repeatedly don’t keep access to good clinicians. Because your terms are agreed directly with the organization, any cancellation arrangements are between the two of you.
Do I need my own professional liability insurance?
That depends on your profession and jurisdiction — many regulated health professionals carry their own liability protection, and many organizations require proof of it as a facility requirement. If it’s needed for a posting, the requirement is listed upfront and your insurance certificate is verified like any other credential.
Are rates negotiable?
The offered rate is shown upfront so nobody’s time is wasted. If an organization is open to discussion, that conversation happens directly between you in messaging — LocuPedia doesn’t set, cap or take part in the number.
Premium
What is LocuPedia Premium?
Premium is an optional add-on for clinicians who want a little more — things like enhanced profile visibility and earlier awareness of new matches. The core workflow — profile, verification, browsing, applying, messaging — is free for every clinician, always.
How much does Premium cost?
$19.99/month, optional, and the only thing a clinician can ever buy on LocuPedia. It’s managed from your settings with a clear record of each billing period.
Can I cancel Premium anytime?
Yes — cancel in a couple of taps from your settings and Premium simply doesn’t renew. You keep Premium until the end of the period you’ve already paid for, and your free account, verification and applications are completely unaffected.
Is Premium required to apply or get hired?
No. Organizations see verified credentials and complete applications from every clinician. Premium is a personal convenience, never a gate — nobody can tell whether an applicant has it, and it plays no part in matching or hiring decisions.
Credentialing & verification
What gets verified?
The essentials, checked against source: your licence or registration, your degree or qualification, your references, and any certifications a profession or facility requires — like ACLS for an ICU nurse. Your Credential Passport shows each item’s status at a glance.
What documents do I need?
Typically your professional licence or registration, proof of your qualification, references, and profession-specific items like liability insurance or certifications. The app tells you exactly what your profession requires — nothing more, nothing less — and you upload each item once.
How long does verification take?
Most verifications complete within a few business days, depending on how quickly sources respond. You can watch each item move through review in your Credential Passport, and you’re notified the moment you’re verified — from then on, you apply anywhere in one tap.
What is the Credential Passport?
Your professional credentials, verified once and carried everywhere on the platform. Instead of re-submitting documents to every organization, your passport shows a current, verified status — and when something nears expiry, we tell you before it costs you work. Seecredentialing & compliance.
What happens when a credential expires?
You get warned before it happens and shown exactly what to renew. If an item lapses, your passport reflects it honestly until the renewed document is verified — organizations see current status, never stale claims, which is exactly what keeps your verified badge trusted.
Who can see my documents?
Organizations see your verification status, never your underlying identity documents — those are visible only to the verification review. And nothing is shared with any organization until you apply or respond: before that, your profile isn’t in their hands at all.
Referrals & rewards
How do referrals work?
Every account has a unique referral code — yours alone, generated automatically. Share it from the Referral area and when a colleague joins through it and completes licence verification, you earn Posting Credits. The journey is shown step by step in the app, so you always know what happens next.
What are Posting Credits?
Credits are LocuPedia’s thank-you for growing the community: 100 credits cover one CAD 300 seven-day posting period after standard pricing begins. Clinicians earn +20 credits for each referred professional who completes licence verification; organizations earn +50 for each referred organization that verifies and posts its first legitimate live need.
How do I invite a colleague?
From the Referral area, enter their name and email and we send a professional invitation with your code — the template is auto-personalized with your name and theirs. To keep the program spam-free, invites go only through the platform’s own message, with no editable personal text and no SMS or WhatsApp blasting.
Can I write a personal message with my invite?
Invites use a read-only, auto-personalized template — it fills in your name and your colleague’s, and can’t be edited. That’s deliberate: it keeps every invitation professional, prevents the referral program being abused for spam, and protects your reputation with the colleagues you invite.
Messaging, conduct & your data
How does messaging work?
Built-in messaging keeps every conversation attached to its hiring context — the need, the dates, the application — so nothing gets lost across email and texts. You can message an organization about a posting before or after applying.
What is the zero-tolerance policy?
LocuPedia has zero tolerance for any misuse of the platform or inappropriate behaviour — including harassment, flirting, racism or discrimination of any kind. Behaviour that doesn’t align with our Privacy Policy and Terms & Conditions leads to immediate account suspension, without further notice. It applies equally to clinicians and organizations, and you acknowledge it when you join.
How do I report inappropriate behaviour?
Tell us right away throughcontact— reports go straight to the team. We investigate quickly, and where the zero-tolerance policy is breached the account is suspended immediately. You’ll never be penalized for reporting in good faith.
Who can see my profile?
Only verified organizations, and only in the context of work — when you apply, when you respond, or when your profile matches their legitimate search. Anonymous visitors see nothing: there is no public directory of clinicians, and your details are never exposed before you sign in.
Is patient information ever on LocuPedia?
Never — and please don’t add any. LocuPedia is a workforce platform: profiles, credentials, postings and applications. It is not a channel for patient data, and ourusage policyprohibits uploading patient information in any form.
How is my account protected?
Individual accounts, secure document handling, role-based access and a reviewable activity history — the discipline is described plainly on oursecurity & privacypage, and ourprivacy policycovers exactly what’s collected and why.
How do I update or delete my account?
Profile details, documents and preferences are editable any time in settings. You can export or delete your information from inside the product or by writing to us — deletion removes your profile and credential documents, subject only to records the law requires us to keep. Seeprivacy choices.

What's the difference between a clinic and a hospital workspace?
Same platform, different shape. A clinic workspace is built for independent practices and clinic groups — one team, one or more locations. A hospital workspace adds departments, role-based teams and sign-off structure, so a health system can post by department with the right approvers. Compare them on theclinicsandhospitalspages.
How do we create our organization account?
TapClinic / Hospital, add your organization name and work email, and your console is ready. You can post your first need as a draft immediately; verification runs in parallel so your posts can go live with a verified badge.
How does organization verification work?
We confirm the organization is real and authorized to post — business details, work email domain and a review by the team. Verified organizations carry a visible badge, and verification is what unlocks referral credit rewards and clinician trust: professionals apply faster to organizations they can see are real.
Which professions can we post for?
Any role in theprofessions & specialties catalogue— 55+ roles across medicine, nursing, dentistry, pharmacy, optometry, allied health, diagnostics and mental health, from Registered Nurses to Eye Technicians and Optometrists. If you need a role that isn’t listed,request it.
Can we manage multiple locations?
Yes. Clinic groups post per location under one organization, with one team and one billing history. Hospitals organize by department. Each post is tied to a single location or department so clinicians always know exactly where the work is.
Posting coverage needs
How do we post a coverage need?
From your console, tap Post a Need and follow the guided steps — role, dates, location, requirements, offered rate. You can save a draft at any point and publish when ready. A live need runs for a 7-day posting period.
What does a good coverage need include?
Everything a clinician needs to decide: the role and specialty, the facility and location, exact dates and hours, the requirements (licence, certifications, experience), and the offered rate — required and shown upfront. Complete posts get more, better applications; vague ones get skipped.
What are starter templates?
Pre-built postings for common roles — including Eye Technician (Ophthalmic), Optometrist and Registered Nurse (RN) — with the typical requirements already filled in. Open Hiring → Templates, tap Use Template, adjust the dates and rate, and post. It’s the fastest way to a complete, professional need.
What counts as a legitimate posting?
A real coverage need at a real facility, with honest dates, requirements and a real offered rate. No bait postings, no collecting applications without intent to fill, no duplicate spam, and nothing outside healthcare coverage. Every post carries our zero-tolerance acknowledgment, and postings that break the rules are removed — accounts that repeat it are suspended.
Can we edit, pause or close a post?
Any time. Edit details while it’s live, pause it when you need a breather from applications, or close it the moment you’re covered. Closing ends the posting period — nothing renews automatically, ever.
How do departments work in a hospital workspace?
Each department posts and manages its own needs under the hospital’s account, with its own reviewers and sign-off steps where you want them. Administration sees the whole picture; department leads see their own. It’s how a health system keeps coverage accountable without bottlenecking everything through one office.
Does a post renew automatically?
Never. One post = one 7-day posting period. When it ends, it ends. If you still need coverage, repost in one tap — we will never quietly charge you for a renewal you didn’t ask for.
Pricing & Posting Credits
What does posting cost?
Posting is free during launch. Standard pricing after launch is CAD 300 plus applicable taxes per 7-day posting period, itemized on your receipt. One post covers one location, one role and one connected coverage requirement for a 7-day window. Full details on thepricing page.
How does launch pricing work?
Every organization posts free during the launch period — the full workflow, no card required. Before standard pricing activates, we notify organizations in advance; nothing ever flips silently. Posting Credits you earn during launch carry forward and can cover future posting periods.
What exactly does one post cover?
One location, one role, one connected coverage requirement, for a 7-day posting period. If you need two roles or two sites, that’s two posts — which keeps each posting specific, and specific postings are what clinicians actually apply to.
What are Posting Credits?
Credits you earn for growing the community, held in your Post Bank. 100 credits = one CAD 300 seven-day posting period once standard pricing is active. Your credit total and history are always visible in Referral Rewards.
How do we earn Posting Credits?
Two ways. Refer another organization with your unique referral code: when they verify and post their first legitimate live need, you earn +50 credits. (Referred professionals who complete licence verification earn their referrer +20.) Credits accumulate in your Post Bank and redeem against posting periods.
Do you charge clinicians or take a percentage?
No — never. Clinicians use the core workflow free, and there is no commission or percentage on anyone’s work. Organizations pay a flat, honest posting fee; the clinician’s agreed rate is between the two of you, untouched by us.
Is there volume or enterprise pricing?
Yes. High-volume organizations and health systems can arrange custom volume pricing — always calculated per 7-day posting period, never as a subscription. Talk to us through thecontact pageand we’ll structure it around your posting pattern.
Will we be notified before paid pricing starts?
Yes — clearly and in advance, in the product and by email. Your earned Posting Credits carry over, your drafts and history stay intact, and the first paid posting period only ever starts with your explicit action.
Applicants & hiring
How are clinicians matched to our needs?
By the things that actually decide fit: profession and specialty, location, availability against your dates, and credential readiness. The better your posting, the sharper your matches — complete posts surface to the clinicians most likely to say yes.
Who reviews credentials?
LocuPedia verifies credentials against source before a clinician earns verified status — licences, qualifications, references, certifications. You review the status, not the paperwork: every applicant arrives with a current verification picture, and anything facility-specific left to confirm is flagged explicitly.
How do we review applicants?
From the Hiring area: every application shows the clinician’s profile, verification status, availability against your dates, and their message. Advance them, message them, or decline — each action is recorded so your team always knows where every applicant stands.
Can we save, shortlist and compare clinicians?
Yes. Save strong clinicians to your talent list, and compare candidates side by side — credentials, availability, experience — before you decide. Your saved list persists across posts, building a bench you can invite directly next time.
What are internal notes?
Private annotations on a clinician’s profile, visible only to your team — interview impressions, “great fit for weekends”, anything worth remembering. Notes are never visible to the clinician or any other organization.
Can we invite a clinician to apply?
Yes. From any clinician profile, Invite to Apply attaches one of your open needs and sends a professional invitation. It’s the fastest way to turn a strong match into an application without cold-calling.
How do close-out outcomes work?
When a post closes, you record the outcome — filled through LocuPedia, filled elsewhere, no longer needed, or expired — optionally naming the hired clinician. Outcomes are your organization’s own statement: they keep your history honest and feed aggregate fill-rate figures, which are always labelled self-reported.
Team & roles
How do we add team members?
From Team & Access, tap Add Team Member, enter their name and work email, and choose their role. The interactive invite walks you through what each role can do before you send — they join with exactly the access you intended, nothing more.
What roles and permissions are available?
Roles group permissions so you don’t hand out more access than a job needs — from posting and reviewing applications to managing billing or the team itself. The Organization Admin role covers near-full control for trusted leads; use narrower roles for everyone else.
What is the Owner (super admin) role?
The Owner is the account’s super admin: exactly one per organization, holding ultimate control — including billing and team management — and the only role that can’t be suspended, demoted or removed. Ownership transfers deliberately through Settings, with the change written to the audit record. The invite flow explains this interactively when you’re assigning roles.
How do we suspend or remove a team member?
Right from the team list — every member row has visible Edit, Suspend and Remove actions. Suspending freezes access instantly without deleting history; removing ends membership entirely. Either takes effect immediately and is recorded in the audit log.
Is there an audit record of team actions?
Yes. Role changes, invitations, suspensions, removals and ownership transfers are all written to a reviewable audit record with who, what and when. In healthcare staffing, accountability isn’t optional — so it isn’t optional here either.
Billing & receipts
Where do we download invoices and receipts?
In Settings → Billing, the Invoices & receipts card lists every charge with its own invoice — view any of them, download a single invoice, or use Download all for one combined statement. Every document is itemized and available whenever you need it for your records.
How is billing itemized?
Every charge is a line item: the posting period it covers, the post it belongs to, the amount, and applicable taxes shown separately. No bundles, no “platform fees”, nothing you can’t trace back to a specific posting.
What taxes apply?
Applicable Canadian taxes are added at the prevailing rate and itemized separately on every receipt — the CAD 300 standard posting price is before tax, and the tax line is always explicit so your accounting team doesn’t have to guess.
Do you handle clinician compensation?
No — by design. LocuPedia is a connection, credentialing and workforce marketplace — it does not process, collect, hold, transfer, invoice, settle or guarantee compensation between clinicians and organizations. The only money LocuPedia ever handles is the organization’s posting fee, receipted to the organization. Compensation terms are agreed directly between you and the clinician.
What happens to billing if we close a post early?
Closing a post ends its posting period. During launch there’s nothing to refund because posting is free; once standard pricing is active, prepaid periods are not refunded for unused days — so close a post when you’re covered, and repost free of commitment whenever you need to again.
Messaging & conduct
How does messaging work?
Built-in messaging keeps every conversation attached to its hiring context — the need, the dates, the application. No lost email threads, no personal numbers exchanged before you choose; the whole dialogue sits next to the posting it’s about.
What is the zero-tolerance policy?
LocuPedia has zero tolerance for any misuse of the platform or inappropriate behaviour — including harassment, flirting, racism or discrimination of any kind. Behaviour that doesn’t align with our Privacy Policy and Terms & Conditions leads to immediate account suspension, without further notice. You acknowledge it when posting, and it applies to organizations exactly as it applies to clinicians.
Can we text or WhatsApp clinicians through LocuPedia?
No — deliberately. Messaging runs through the platform’s own professional channel, and referral invites go by email with a read-only, auto-personalized template. We removed Text and WhatsApp channels so nobody can use LocuPedia to spam clinicians — which is precisely why clinicians trust the messages they receive here.
What happens if a posting breaks the rules?
It comes down, and the account behind it answers for it. Misleading postings, spam duplicates, discrimination, or any behaviour that breaches our policies means removal of the post — and where the zero-tolerance policy applies, immediate suspension of the account without further notice.
Security & data
Is patient information ever posted?
Never. Coverage needs describe staffing requirements — role, dates, skills — never patients. Uploading patient information in any form is prohibited by ourusage policy, and postings are structured so there’s no reason it would ever belong there.
Who can see our organization's documents?
Only the verification review. Clinicians see your published posts, your public profile and your verified badge — never your underlying business documents. Your team’s internal notes and applicant data are visible only to your own authorized roles.
What is the audit record?
A reviewable history of the actions that matter: postings and edits, application decisions, team changes, ownership transfers. If it changes something on your account, it’s in the record — with who did it and when.
How is our data protected?
